Collector Guide to ArteraQ

    A complete walkthrough of every page and feature available to art collectors. Follow along step by step or jump to any section.

    Sign Up & Login

    Creating Your Account

    1Visit the ArteraQ homepage and click Create Account.
    2Fill in your details:

    Organization NameThe name of your collection (e.g., "The Smith Collection")
    Organization TypeSelect Collector — this determines which features you see
    3If you have an invite code for early access, enter it in the optional field.
    4Click Create Account and you're in!

    Signing In

    1Enter your email and password on the Sign In tab.
    2Click Sign In — you'll land on your Collection page.

    Forgot Password?

    1Click Forgot password? on the login screen.
    2Enter your email — we'll send you a reset link.
    3Click the link in your email, set a new password, and you're back in.
    💡 Tip: Reset links expire after a limited time. Request a new one if needed.

    Email Verification

    After signing up, check your inbox for a verification email. Click the link to activate your account.

    Don't see it? Here's what to try:

    • Check your spam/junk folder
    • Click "Resend verification email" on the login page
    • Links expire after a set time — request a new one if needed

    Once verified, you'll be logged in automatically.

    Profile & Settings

    Click your name in the top-right corner to access your profile.

    Your Information

    Collection Preferences

    Measurement UnitsChoose centimeters (cm) or inches (in) for artwork dimensions

    Change Password

    Enter your current password, then set a new one. Both fields must match.

    Plan & Limits

    See your current plan and daily AI analysis usage. Free plans include 10 AI analyses per day.

    Collection (Home)

    This is your main page — a visual gallery of your entire art collection.

    What You See

    Each artwork appears as a card showing:

    • Thumbnail image of the artwork
    • Title and artist name
    • Medium (oil on canvas, bronze, etc.)
    • Purchase price from your acquisition record
    • Current valuation (if recorded)
    • Gain/loss percentage — green for gains, red for losses
    • Status pill — Available, Sold, Loaned, On Consignment

    Smart Filters

    Quick filters at the top highlight gaps in your records:

    • Missing acquisition — artworks without a purchase record
    • Missing purchase price — acquisitions without a price
    • Missing documents — artworks with no attached files
    💡 Tip: These filters help you quickly find which records need attention — great for getting your collection fully documented.

    What You Can Do

    • Click any artwork to open its full detail page
    • Export your collection as a report
    • Share your collection via a public link

    Artwork Detail

    Click any artwork from your collection to see everything about it. All fields save automatically when you make changes.

    Images (Left Side)

    • Main image — click to zoom to full size
    • Image gallery strip — scroll through detail shots, back, frame, etc.
    • Drag and drop or click to add more images
    • Delete any image you no longer need
    • AI-extracted dominant colors shown as swatches

    Basic Information (Right Side)

    AI-Generated Fields

    After AI analysis, these fill in automatically:

    • Style — e.g., Impressionism, Abstract, Contemporary
    • Mood — e.g., Serene, Dramatic, Contemplative
    • Dominant Colors — color swatches with names

    Advanced Fields

    For detailed records, you can also fill in:

    • Wall Label — text for gallery display signage
    • SEO Copy — description for online catalogs
    • Description — detailed notes about the piece
    • Signatures/Inscriptions — markings on the artwork
    • Condition Notes & Status — physical condition tracking
    • Authenticity Status — verified, unverified, etc.
    • Custom Fields — anything specific to your organization

    Toolbar Actions

    • Record Acquisition — log when and how you got this piece
    • Similar Artworks — AI finds visually similar pieces in your collection
    • Re-analyze — run AI analysis again to refresh metadata
    • Activity Log — see the last 5 changes to this record

    Acquisitions

    Track how and when you acquired each artwork.

    Recording an Acquisition

    1Open an artwork's detail page.
    2Click Record Acquisition.
    3Fill in the form:

    How It's Used

    • Collection cards show purchase price vs. valuation with gain/loss
    • Insurance reports use valuation figures
    • Estate reports include acquisition details
    💡 Tip: You can update the valuation anytime as a piece appreciates or depreciates.

    Provenance

    Build a complete ownership history for each artwork — who owned it, when, and how it changed hands.

    Adding an Entry

    1Open an artwork's detail page.
    2Scroll to the Provenance Timeline panel.
    3Click Add Entry and fill in:

    Timeline View

    Entries appear as a visual timeline ordered chronologically, showing owner, dates, and source at a glance. You can edit or delete any entry.

    Documents

    Attach files to your artworks for complete record-keeping.

    What You Can Upload

    Supported formats: PDF, JPEG, PNG, WebP, Word documents — up to 25 MB each.

    From an Artwork's Detail Page

    1Scroll to the Documents panel.
    2Click Upload Document, select your file and document type.
    3Click Upload — it attaches to that artwork automatically.

    From the Documents Inbox

    1Navigate to the Documents Inbox from your collection.
    2Drag and drop files (or click to browse).
    3For each file, choose which artwork to attach it to and select the document type.
    4Upload in batch — great for processing lots of documents at once.
    💡 Tip: Documents appear on the artwork detail page with type badges. Click to preview or download, and delete with confirmation.

    Search & Filter

    Find any artwork in your collection using powerful, combined filters.

    How to Search

    Click Search in the left navigation. Filters appear in a sidebar:

    KeywordsSearches titles, descriptions, artists, mediums, styles, moods, wall labels, and SEO copy. Updates as you type.
    StyleCheckboxes for each style. Select multiple — artworks matching ANY selected style appear (OR logic).
    MoodSame as styles — checkboxes with OR logic.
    TagsType a tag and press Enter to add it as a chip. Multiple tags use AND logic — artworks must have ALL tags.

    A counter above the filters shows how many are active. Click Clear All to reset everything.

    💡 Tip: Results appear as a gallery grid with a total count. Click Load More to see additional pages.

    Saved Searches

    Save your favorite filter combinations so you can reuse them with one click.

    Saving a Search

    1Apply your desired filters (keywords, styles, moods, tags).
    2Click Save Search in the top-right (appears when filters are active).
    3Give it a name (e.g., "Blue landscapes" or "Oil portraits under $10K").

    Using Saved Searches

    Your saved searches appear as clickable chips below the page header. Click any chip to instantly apply those filters. The active one is highlighted.

    To delete a saved search, click the X on its chip and confirm.

    PDF Catalog Export

    Generate a professional, printable PDF catalog from your current search results.

    How to Export

    1Run a search or apply filters to show the artworks you want.
    2Click Export PDF in the top-right.
    3Customize your catalog:

    4Click Open Catalog — it opens in a new tab, ready to print or save.
    💡 Tip: The catalog includes artwork images, title, artist, medium, date, and ArteraQ branding in the footer.

    Collection Reports

    Export your entire collection in specialized report formats.

    How to Export

    1Go to your Collection page.
    2Click the Export button.
    3Select the report type — it generates and opens for printing or saving.

    Collection Sharing

    Share your collection with advisors, insurers, or anyone else via a secure link.

    Creating a Share Link

    1From the Collection page, click Share.
    2A secure share token is generated.
    3Optionally set filters (share only certain artworks) and an expiration date.
    4Copy the link and send it.

    What Viewers See

    A read-only, beautifully formatted view of your collection — images, titles, artists, and details. No editing capability. They can print it too.

    Revoking Access

    Delete the share token at any time to immediately disable the link. Simple as that.

    Import

    Migrating from spreadsheets? ArteraQ makes it easy to bring everything over.

    Tab 1: Import from CSV

    1Click Import in the navigation.
    2Upload your CSV file — ArteraQ maps columns to artwork fields automatically.
    3Review the mapping, correct any issues, and click Confirm to import.

    Supported fields include title, artist, medium, date, dimensions, price, inventory number, status, description, tags, and more.

    Tab 2: Attach Artwork Images

    1Upload a ZIP file containing your images.
    2Name your files by inventory number (e.g., INV-001.jpg).
    3For multiple images per artwork, use suffixes like INV-001_detail.jpg.

    ArteraQ matches images to artworks automatically.

    Tab 3: Quick Add

    1Drop one or more images.
    2AI analyzes each image and pre-fills metadata.
    3Review, edit, and save to add to your collection.

    AI Analysis

    ArteraQ uses AI to analyze your artwork images and extract metadata automatically — saving you hours of manual entry.

    What AI Extracts

    • Style — artistic movement (e.g., Impressionism, Abstract)
    • Mood — emotional quality (e.g., Serene, Dramatic)
    • Dominant Colors — color palette with names
    • In Quick Add mode: suggested title, medium, and description too

    How to Use It

    • Single artwork: Click Re-analyze on any artwork detail page
    • Batch analysis: From the Dashboard, click Analyze Now to queue all pending artworks
    • Quick Add: AI runs automatically when you drop images

    Limits

    Free plans include 10 AI analyses per day. Usage is shown on your profile page. Batch analysis runs in the background — check back in a few minutes.
